To ensure optimal performance of our DotPDF services, we may request and store personal data from you. You can learn more about what applies to you here, all in accordance with the GDPR.
Explanation of the General Data Protection Regulation (GDPR/AVG)
As of 2018, the General Data Protection Regulation (GDPR/AVG) has been in effect, establishing a central privacy law for the entire European Union. The European Union aims to give people more control over how organizations handle their personal data. This is because rapid developments in cloud technology, among other things, are creating new ways to use and exploit data. By strengthening data protection legislation and introducing stricter enforcement measures, the European Union wants to put a stop to this and improve trust in the emerging digital economy.
DotPDF as a Processor of Personal Data
Sensitive data, also known as personal data, is processed through the DotPDF.io website and the DotPDF services. We place great importance on the privacy of our employees, (potential) customers, users, and other relationships and do everything in our power to ensure data privacy and protect personal data.
In this Privacy Policy, we explain what personal data we process, for what purpose we do this, and how we protect it.
What personal data we share with others
If you only visit the pages on our website
We use Google Analytics and Microsft Clarity to measure, evaluate and improve the use of our website. For example, we can see which pages have been visited. However, we cannot trace this back to you personally, as we do not track individual visitors to our website.
If you receive our email newsletter with version update information (Product Information)
We would like to inform you (if you are a customer of ours) about new or changed functionalities of the applications that your organization uses. We will use your email address and your first and last name.
Sinch for sending email
If you are our customer, we will provide Sinch, with your name and email address. This is necessary for sending the production information emails.
Atlassian for customer contact via the Online Service Desk
The names and email addresses of customers who use our helpdesk are passed on to Atlassian to create a login account. Communication between your organization and us via this helpdesk application is also stored by them, on servers within the EU.
Invoice related information via Stripe
To ensure accurate invoicing, we share your contact and payment information with our secure payment processor, Stripe.
Our SaaS platforms are hosted on Google Cloud
When using our DotPDF SaaS or DotPDF Dedicated API, your HTML data (including any personal information) is temporarily stored in Google Cloud’s europe-west-4 (NL, Eemshaven) region for processing into a PDF. The original HTML is immediately deleted after conversion, and the generated PDF is automatically removed once returned or saved to your chosen location. If support is requested for a specific API request, both the HTML and generated PDF are retained until the issue is resolved, then permanently deleted.
For our SaaS services, the servers processing your requests might be shared with other users. However, with our DotPDF Deducated service, dedicated servers handle your requests exclusively.
With our DotPDF Self-managed solution, your HTML data (including any personal information) and generated PDFs remain entirely within your control. We only receive anonymous usage data (number of conversions, conversion speed, nr of instances etc.) for licensing purposes.
Accessing, Modifying, or Deleting Data
You have the right to access, correct, or delete your personal data. A request for access, correction, or deletion can only be processed if submitted in writing. You may be asked to identify yourself to prevent misuse.
You are responsible for the consequences of deleting your personal data. This could include, for example, no longer being informed of new developments and updates regarding the DotPDF services, no longer being able to answer support requests, and/or no longer being able to use the DotPDF services.
Security
DotPDF places great importance on the protection of your (personal) data and takes appropriate measures to protect your personal data from unauthorized access, misuse, and other forms of unlawful use.
The DotPDF website uses a reliable SSL Certificate to ensure that your personal data does not fall into the wrong hands. We have also implemented various technical and organizational measures to ensure the security and availability of the DotPDF service.
Changes to this Privacy Policy
This Privacy Policy may be modified from time to time, with the most recent version of the Privacy Policy always available on our website. We advise everyone to regularly consult our Privacy Policy so that you are always aware of the latest changes.

We appreciate it if you contact us if you have a complaint. We can then do our best to resolve your complaint. You can find our full contact details at the bottom of the page.
If you are still unable to reach a solution with us, you also have the right under privacy law to file a complaint with the privacy supervisory authority, the Dutch Data Protection Authority.
